A week inside an events agency running on Atlas.

Harrow & Vane wins a winter launch on a Monday morning. Follow the week that follows: the event, the paperwork, the margin and the briefing, all on one shared record.

Illustrative walkthrough. A composite agency, drawn from our work with events businesses, not a client.

The Atlas stack drawn as layers. Monday, Atlas Backstage: every project, handoff and approval in one place. Tuesday, Atlas Agents: the admin handled, the judgement left to your people. Wednesday, Atlas Ledger: the margin on every project, while you can still change it. Friday and every day, the record: one system, a single record every department reads from.

The event builds itself from the client’s email.

Verrin confirms its winter launch by email. Harrow & Vane’s own event skill reads it into Backstage: the dates, seven crew and a clash caught at booking, in the calendar the team already uses.

Atlas Backstage showing Winter Launch for Verrin, created from a client email pasted into the side panel and read by the agency’s own event skill: build Monday 12 to Tuesday 13 October, live Wednesday 14 to Thursday 15, break Friday 16. The crew calendar shows seven crew, five confirmed and two provisional, and a clash: the site manager is already on another event on the build days, with two free site managers who could be reassigned. A flag says a second health and safety adviser is needed.
  1. Read by the agency’s own event skill
  2. A clash caught at booking
  3. A second H&S adviser, by their rule

By nine, the pack is drafted. The signature is yours.

Overnight the agents drafted Verrin’s compliance pack from the event record, on the agency’s own templates, and chased suppliers for their paperwork. Sign-off stays with a named person.

Atlas Agents showing the compliance pack for Winter Launch, drafted overnight from the event record on the agency’s own templates: the event safety management plan, the risk assessment, RAMS and the build and break schedule, each versioned. The gap check has caught a missing noise management plan, supplier documents are chased against a Friday deadline, and sign-off is named to the health and safety manager, never automated.
  1. Drafted from the event record
  2. A missing plan, caught
  3. Signed by a named person

The margin, before the quote leaves.

A new brief from Halvard is priced and ready to send. Ledger scores it against the jobs most like it first, and shows where the margin went while there is still time to change it.

Atlas Ledger showing the draft quote for Halvard’s flagship opening: a fee of £148,500 against estimated costs of £123,300, a 17% margin where the last three jobs like it made 21%. The quote check explains the gap before the quote leaves: crew days on last year’s rate card, AV quoted above comparable jobs and two extra senior days. Beside it, senior time drifting on a live project, flagged in week two, and an AV supplier never re-quoted, with a request for quotes drafted for approval.
  1. Scored against jobs like this
  2. Senior time caught in week two
  3. A re-quote drafted, a person approves

Thursday isn’t in this film. The team spent it on site, running the show.

The whole week, on one page.

By Friday afternoon, Atlas has read the week off the record. Nadia Brooks, Head of Operations, gets Monday’s briefing: what moved, what needs her, and what is coming next.

The Atlas briefing for Nadia Brooks, Head of Operations, prepared on Friday from the record. The week in numbers: six events created, five from client emails; three clashes caught at booking; five compliance packs drafted; 27 supplier documents chased, 22 in; about 31 hours returned, estimated from agent tasks. Four items need her on Monday, and next week is listed day by day, up to the next build on Sunday.
  1. Counted from the record, not from memory
  2. Only what needs her
  3. Next week, before it arrives
